5 Jobs a Small Team Can Hand to AI This Quarter
Invoices, inbox triage, quotes, reports and data entry: five practical AI automations for small teams, what each needs, and how to keep a person in charge.
Most small teams don't need an "AI strategy". They need the same three people to stop spending every Friday retyping numbers, chasing approvals and answering the same email. The good news: the jobs that eat the most time are usually the easiest ones to hand to AI, because they follow the same steps every time.
Here are five that work well with tools you already use, what each one needs to get started, and the one rule that keeps them safe.
1. Reading invoices and bills
An AI agent reads each incoming invoice (PDF or email), pulls out the vendor, amounts, dates and line items, matches it to the purchase order, and drafts the entry in your accounting system. Anything that doesn't match goes to a person with the reason attached.
- Works with: QuickBooks, Xero, an ERP, or a shared mailbox where invoices arrive.
- What you need: a few months of example invoices and your approval rules.
2. Sorting the shared inbox
Customer and vendor emails get read, labeled (order status, quote request, complaint, invoice), routed to the right person and, for routine questions, answered with a draft reply someone approves in one click.
- Works with: Outlook or Gmail, plus your CRM or order system for lookups.
- What you need: the categories your team already uses and examples of good replies.
3. Turning call notes into quotes
A salesperson pastes call notes or forwards an email; the agent builds a quote from your price list and product rules, in your template, ready for review. The salesperson spends their time on the customer, not the formatting.
- Works with: Word or Google Docs templates, HubSpot, Salesforce, or a price list in Excel.
- What you need: a clean price list and two or three past quotes you were happy with.
4. Weekly reports that write themselves
Instead of exporting from three systems every Monday, an agent pulls the numbers, builds the report and adds a short plain-English summary: what changed, what looks off, what needs a decision.
- Works with: Excel, Google Sheets, Power BI, your ERP or CRM.
- What you need: the report you already send, and agreement on which numbers matter.
5. Data entry between systems
When the same customer, order or product gets typed into two or three places, an integration plus an AI step to clean up messy inputs (addresses, part numbers, free-text notes) removes the retyping and the typos that come with it.
- Works with: CRMs, spreadsheets, e-commerce, order and accounting systems with an API or export.
- What you need: a list of where each piece of data starts and where it has to end up.
How to pick the first one
- List the repetitive tasks your team does every week and roughly how long each takes.
- Circle the ones that follow the same steps every time and use information you already have.
- Start with the one that costs the most hours and has the lowest risk if a draft is wrong.
